Job Description

Under direction of the Assistant Vice President, Financial Aid Services, develops, manages and maintains the day-to-day financial aid operations, policies and procedures for verification, student employment and loans to ensure accurate financial aid awarding, disbursement and fiscal accountability. This position plays a collaborative leadership role in the strategic goals and mission of the unit, providing leadership and direction to the verification processing, employment and loans areas, ensuring timely and accurate processing as well as delivery of optimal customer service.

Essential Duties

  • Plans, directs and reviews the activities and operations of the verification processing, student employment and loans teams, collaborating with academic units, enrollment services and other university departments to ensure the effective and efficient delivery of services for undergraduate and graduate students, including but not limited to: financial aid counseling, processing and awarding, and general financial aid information.
  • Assists in providing training and support to assigned staff and ensures compliance with relevant regulatory requirements.
  • Works collaboratively with the Assistant Vice President and Compliance and Training unit to assist in the review and evaluation of federal regulations concerning financial aid and ensures that operations of assigned areas are in compliance with these regulations.
  • Provides support to the Compliance and Training team in the regular review and update of policies and procedures, correspondence, forms, web and knowledgebase articles.
  • Oversees specific processes such as monthly reconciliation and annual closeout of Direct Loans, Pell and Federal TEACH Grant, imaging/indexing, etc.
  • Provides support to the Assistant Vice President.
  • Conducts and assists with the development of long-and short-range goals.
  • Participates actively in enrollment services and student retention activities.
  • Oversees and participates in the hiring, training, supervising and evaluation of assigned staff.
  • Serves as liaison for Financial Aid and Scholarship Services with ASU Enrollment Services, designated ASU departments and units, and designated state and federal financial aid entities.
  • Delivers optimum service to all internal and external customers and provides necessary training and updates to ensure accurate communication.
  • Provides leadership, direction and supervision for the development of a comprehensive client-centered and proactive culture providing enhanced services to students, families, public and university community partners.
  • Represents the department and serves on various department and university committees.
  • Serves as a representative of the University at state, regional and national organizations, boards, councils and committees as assigned.
  • Oversees the design and management of the ISIR load process and creates the document model for standard verification.
  • Oversees testing for annual updates to processing. Collaborates with Compliance and Training area for delivery of training for the team.
  • Responsible for coordinating the annual review and updates of all areas related to preparation for verification processing in the next aid year.
  • Collaborate with the Systems Development team and University Technology Office to assist with testing, implementation, maintenance and enhancements on a regular basis.
  • In collaboration with the Assistant Vice President, develops, maintains and implements department policies and procedures.
  • In collaboration with the Assistant Vice President, plans, evaluates and develops department long – and short-term goals, and develops objectives and activities based on these goals.
  • Responsible for keeping abreast of new federal and state initiatives and making recommendations regarding implementation; maintain auditable records of aid awards, aid adjustments, appeals requests and documentation, in accordance with state and federal regulations.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND eight (8) years of related administrative experience, which includes five (5) years of supervisory experience; OR, Twelve (12) years of related administrative experience, which includes five (5) years of supervisory experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

  • Demonstrated knowledge of the principles and practices pertaining to the assigned areas and five (5) years of progressively responsible financial aid experience in a post-secondary institution.
  • Experience working in a higher education financial aid office.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work.
  • Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
  • May be required to perform tasks in the field within and/or across University campuses.
  • Ability to clearly communicate to perform essential functions.

Financial Aid and Scholarship Services is one of several departments comprising Academic Enterprise Enrollment which utilizes a variety of strategies to enroll and support a diverse student population representative of Arizona State University's vision. The Financial Aid and Scholarship Services unit strives to provide excellent customer service with the goal to make each student's application for financial aid a simple and affordable process. Each staff member is committed to helping a student finance their education by effectively utilizing scholarships, grants, work-study and loans. The unit provides tools to help determine the cost of attending ASU, including a scholarship portal to search for available scholarships. The department also provides resources for student to use to budget their money and a student employment unit which processes department requests for student workers.
