Job Description

The Academy, nestled within Enterprise Brand Strategy and Management, seeks an energetic individual with an entrepreneurial mindset. The right candidate will be inquisitive in nature and comfortable developing, deploying and evaluating new ways of engaging and collaborating with the ASU marketing and communication community.

In partnership with the director, the manager will develop and execute a variety of tasks associated with coordinating, organizing, scheduling and supervising event logistics in support of The Academy portfolio. They will also contribute from conception to completion on a variety of projects including a monthly newsletter and digital community spaces.

The candidate should be a flexible and adaptable team player who is detail oriented and thrives when working in a fast paced and consistently changing deadline driven environment.

Essential Duties

  • Works closely with appropriate areas within the Enterprise Brand Strategy and Management team and other departments within the institution to plan, coordinate and execute event logistics either in person or online
  • Prepares logistical plans to include budget reviews and schedules of participants availability ensuring timely notification and conducting appropriate follow up
  • Acts as the onsite presence or online support during events to ensure coordination of all aspects of the event including but not limited to: service levels, vendor selection, collateral materials, set up/break-down and registration to ensure delivery of a successful, effective and a smooth event
  • Facilitates workshops or leads presentations to a variety of stakeholders as needed
  • Requests competitive bids from approved vendors
  • When appropriate, serves as a team liaison with vendors and mail services; handles estimates and invoices and identifies cost saving alternatives
  • Places orders in compliance with limitation on purchasing authority
  • Drafts written content supporting the Brand Academy portfolio in a way that is engaging and inviting to the audience
  • Gains buy in and move the needle through effective relationship building and management
  • Assists with developing workflow procedures and associated processes to optimize the production process
  • Assists with keeping an up-to-date calendar of projects in process running reports from the project management system and other administrative duties as assigned

Minimum Qualifications

Bachelor's degree in a related field AND five years administrative/coordination experience; OR, Master's degree in field appropriate to area of assignment AND three years administrative/coordination experience; OR Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience developing and executing in-person and online events
  • Previous experience working in highly cross collaborative teams
  • Ability to establish and maintain strong relationships
  • Evidence of a Bachelor’s degree in a relevant field
  • Experience in using writing, presentation and time management skills

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Required to stand for varying lengths of time.
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
  • Must clearly communicate to perform essential functions.
  • Drive ASU vehicle to and from events.
  • Lift and carry up to 25 lbs.
  • May need to work weekends, weeknights, and holidays.
