Program Coordinator
Job Description
Coordinates the activities and functions of the University Club to ensure the successful achievement of goals and objectives within established priorities, time limitations, funding constraints, or other specifications. The primary focus of this role will be on membership outreach and development, creatively planning, and implementing web-based communications for the website and social media accounts to promote membership. The program coordinator will be responsible for managing member relations and issues, both in person and through various communication channels. This role will also assist with Bistro restaurant operations, working collaboratively with the catering company. The position requires on-site presence to facilitate operations and promptly address any arising issues.

Essential Duties
- Develop and execute comprehensive membership outreach strategies targeting individuals, departments, and businesses.
- Actively engage with potential members to promote the benefits of University Club membership.
- Cultivate strong relationships with existing members to enhance retention and engagement.
- Utilize various digital platforms to promote membership benefits, events, and news related to the University Club.
- Assist in the planning, setup, and execution of UClub member events to ensure their success.
- Actively participate in events to facilitate member engagement and satisfaction.
- Respond promptly and courteously to inquiries related to membership, Bistro, room rental, and catering.
- Effective customer service, addressing member needs in a friendly and efficient manner.
- Proactively manage member relations, addressing issues and concerns both in person, over the phone, and via email.
- Strive to maintain a positive and inclusive atmosphere within the University Club.
- Assist with Bistro restaurant operations, including taking reservations and seating members.
- Collaborate with the catering company to ensure seamless service and member
- satisfaction.
- Utilize Salesforce to track reservations, inquiries, and member data effectively.
- Ensure accurate and up-to-date records are maintained.
- Work on-site to facilitate University Club operations, promptly addressing any arising issues.
- Perform routine clerical tasks to support efficient office operations.
Minimum Qualifications
Bachelor's degree in field appropriate to area of assignment AND two years administrative/coordinator program experience; OR, Six years of progressively responsible administrative/coordinator program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Experience in customer outreach.
- Experience working with a diverse population.
- Experience in customer service, in person customers preferred.
- Experience in using Microsoft Office software, and Salesforce.
- Experience using credit card machines for accepting payments.
Working Environment
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts Ability to clearly communicate to perform essential functions.
