Job Description

Enterprise Technology, Business and Finance - Procurement is seeking a Specialist to assist with the purchase of goods and services and assures day-to-day operations are carried out in accordance with established principles, polices and objectives.

Essential Duties

  • Prepare on-line requisitions. Process payments.
  • Prepare, maintain, and review purchasing files, reports and price lists.
  • Check shipments when they arrive to ensure that orders have been filled correctly and that goods meet specifications.
  • Review requisition orders to verify accuracy, terminology, and specifications. Analyze invoices to ensure accuracy of goods or services delivered.
  • Maintain knowledge of organizational rules affecting purchases, and provide information about these rules to organization staff members and to vendors.
  • Controls expenditures in accordance with budget allocations.
  • Processes reimbursements, purchase of supplies, services, and equipment with use of PCard and other purchasing documents in accordance with established procurement and financial policies.
  • Responds to audit requests and gathers documentation for PCards, and financial records. Performs PCard reconciliations. Interacts and maintains liaison with staff and suppliers in facilitating objectives.
  • Knowledge of administrative and clerical procedures and systems such as word processing, managing files and records. Use Microsoft Office applications, on-line financial system and internal database systems. Performs other duties as assigned.
  • Take responsibility for fostering culture, advancing our values, and championing engagement in all its forms -- collaborating across our teams as well as participating in ET/ASU events and programs.

Days and Schedule: Monday-Friday; 8:00am-5:00pm
This position is eligible for flexible work options, including alternative work schedules or hybrid remote work schedules where employees spend a minimum of 60% of their regular workweek at their primary ASU work location, subject to approvals per ASU policy.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Familiar working in Workday Financial Management System.
  • Knowledge of principles, practices and procedures in field of program, project, or initiative expertise. Knowledge of basic project management.
  • Basic knowledge of Microsoft Office.
  • Skill in performing detailed and complex numerical computations and reports, including analysis and evaluation of budgets, planning and other management information systems.
  • Skill in establishing and maintaining effective working relationships. Skill in effective communication, both verbal and written.
  • Higher Education experience.
  • Experience in modeling empathy, compassion and emotional intelligence.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds. Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions.
