Job Description
The ASU/NASA Space Grant program is part of a statewide consortium of institutions that provide development opportunities for students with work in various sectors of STEM fields to build a pipeline for NASA's future workforce. Under general supervision, the Space Grant Specialist position will provide expertise in a human resource, financial, and service role related to the ASU/NASA Space Grant Programming accordance with its established goals and assignments.
Our program provides support to our student participants to make a significant impact on their academic and professional goals. Due to how the program runs, there are seasons of heavy events and workload that requires all hands-on deck during these peak times. However, this is balanced by lighter periods where more flexibility is feasible. The candidate who enjoys science, space exploration, and learning will find our team and program a rewarding and fun place to work. This position will also have the opportunity for hybrid work.

Essential Duties
- Process new and continuing Space Grant intern hires for each semester which includes the processing of hires, additional pay, and terminations.
- Maintain Space Grant intern job records, which includes position accounting changes, payroll redistributions, etc.
- Coordinate with faculty advisors/account managers for intern funding support
- Coordinate with the department payroll specialist to ensure accurate pay for Space Grant interns
- Maintain and provide department payroll specialist with hire and pay documentation for payroll reconciliation as needed.
- Run periodic reports for verification of intern job records.
- Attend all pertinent trainings and refreshers to ensure current knowledge base of processes and policies.
- Assist with Space Grant travel to ensure policy and procedure compliance, and that deadlines are met
- Process orders and reimbursements for the Space Grant program
- Order supplies and materials from vendors to support office functions and research groups
- Assist in account reconciliation and obtain necessary backup
- Track student participant required deliverables and informal education hours.
- Provide support for annual NASA Space Grant's Undergraduate Research Symposium and ASU Space Grant's Alumni Night and poster session. Support includes but is not limited to: print deadlines, registration logistics, and name tags
- Assist with Space Grant programmatic activities when needed
- Work closely with the Coordinator, Sr. to respond to Space Grant inquiries and to serve as an additional resource.
- Work occasional weekend and evening hours
- Perform other duties as assigned
Minimum Qualifications
Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Seven (7) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

- Experience with purchasing and ordering via purchasing systems
- Demonstrated knowledge of ASU policies and procedures
- Experience working in a higher education environment
- Experience assisting with conferences and public event organization
- Experience working as part of a team, as well as independently
- Experience working in a multi-task environment and meeting deadlines
- Experience in using attention to detail skills
- Demonstrated knowledge of ASU systems i.e., Kenexa, PeopleSoft, Workday, Sunrise, P-card, Zoom, travel policies and procedures, and Google Suite applications or comparable financial management systems
- Evidence of effective communication skills
Working Environment
Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
- Required to stand for varying lengths of time and walk moderate distances to perform work.
- Occasional bending, reaching, lifting, pushing and pulling up to 30 pounds
- Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
- Communicate to perform essential functions.
- Work occasional weekend or evening hours.
