Job Description

Under the direction of the Manager of Policy & Compliance, the Compliance Specialist performs a broad scope of reconciliation and audit duties, to provide guidance to staff of the core business team in support of ASU policies and procedures. This position reviews the work of the business team from both a reconciliation and audit lens to ensure that EOSS business transactions are in compliance with established University goals, priorities, timelines, funding limitations, and/or other specifications.

The ideal candidate will be self-motivated, have a high attention to detail, possess exceptional organizational and customer service skills, and have the ability to work well in a fast-paced, deadline driven environment.

Day to Day- what this role does:
This position will be responsible for ensuring that reconciliation of all fiscal transactions, including PCards, Foundation, and processes in Workday, are completed in a timely manner and according to ASU deadlines. This person will supervise a team of at most three student workers who will assist with performing an initial review of the transactions, and ensure that all required backup documentation is included, highlighting any discrepancies or missing documents. The students will notify this position that the reconciled workbooks are ready for review. This position will perform a second review and investigate any missing documents, contacting EOSS business units as needed. This position is responsible for managing the workload of the student workers and jumping in to do initial reconciliations if and when the students are behind or unavailable, escalating any potential concerns of missing deadlines to the Manager of Policy & Compliance (who may request the Business Manager of the compliance and audit team to assist).

Essential Duties

  • Work independently and exercise professional judgement to serve as a knowledgeable and helpful resource.
  • Keep up to date on ASU and department policies and procedures to ensure accurate output and processing.
  • Assist with special projects, requiring problem solving, research and recommendation of next steps.
  • Provides solutions to problems presented by customers, colleagues and students; recommends changes to methods or procedures to management, utilizing knowledge of University policy and procedure to ensure accurate financial processing.
  • Advises and counsels on accounting and procurement matters to department and/or University staff.
  • Providing oversight and ensuring accuracy of the purchasing process within departmental units.
  • Assists with document retention and audit requests by gathering documentation and financial records.
  • Provide supervision to student staff as needed.
  • Perform other duties, as assigned.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND one (1) year of related experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Knowledge of standard office and administrative practices
  • Experience using a financial system, human resource management system and reporting system in a higher education environment (Workday, PeopleSoft and Kenexa preferred)
  • Knowledge of ASU Travel policies and procedures, specifically with Concur
  • Experience working in a fast-paced environment with competing deadlines
  • Experience in accounting
  • Experience working with detailed financial and human resources reconciliations
  • Experience with Microsoft Office (Word, Excel, and Outlook) and Adobe Acrobat PDF
  • Experience in customer service
  • Evidence of effective communication skills
  • Ability to interpret, educate about and enforce University, divisional and department policy
  • Ability to perform detailed work in an open and shared work space.
  • Ability to supervise student employees.
