Job Description

ASU 365 Community Union is seeking several part-time assistant event coordinators to provide support to operations at events taking place at Mountain America Stadium, Desert Financial Arena and other facilities on and off campus as needed. This position reports to the Event Coordinators. There are no set hours since this position is event based. It is part time, hourly and requires a flexible work schedule to accommodate night, weekend and/or holiday events.

Essential Duties

  • Work pre, post and during events to assist with the facilitation of operations and respond to emergencies, problems, etc.; ensures assigned aspects of events are implemented and controlled according to approved plans. This includes setting up tables and chairs, setting up wayfinding signage and client event equipment, monitoring guests and clients at events.
  • Assist users of facilities by providing requirements in regard to technical, security and/or other event related needs; assist in problem resolution and answer questions; refer to appropriate department when unable to respond.
  • Perform event prep work and tear down by communicating with facility users and vendors.
  • Fill out event incident reports and submit to ASU email
  • Create, file and maintain records on event activities, their progress, or status.
  • Coordinate duties of assigned areas with activities of other staff to ensure optimum efficiency and compliance with appropriate procedures and specifications.
  • Drive 365CU and Cultural Affairs motor vehicles and golf cart on ASU premises.
  • Fill out and submit timesheets in an orderly fashion after shift completion.
  • Work outside in all temperatures and conditions and be able to walk and navigate the stairs and large footprint of the stadium, arena, and the arboretum
  • Other duties and projects as assigned.

Minimum Qualifications

Associate's degree in Business Administration or related field AND one year of facility coordination; OR, Three years progressively responsible events or facility coordination experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience in facilitating events.
  • Experience in public relations and handling complaints
  • Demonstrated knowledge of scheduling; event operations; and administration assistant tasks.
  • Evidence of effective communication skills.
  • Experience using all Microsoft applications to create and maintain files.
  • Ability to work flexible hours for events scheduled on evenings and weekends
  • Drive on university business and possess a Class D driver license upon employment.

Working Environment

  • Ability to push, pull and lift up to 50 lbs.
  • Ability to stand for long periods of time.
  • Ability to climb a 10-foot ladder.
  • Frequent bending and reaching.
  • Ability to work long consecutive hours, for consecutive days.
  • Ability to climb numerous sets of stairs in one shift.
  • Evidence of effective communication skills.
