Job Description
The W. P. Carey School of Business is hiring a Graduate Programs Support Services Program Manager for the Full-time MBA program. The program manager coordinates and manages graduate business programs, including event and program management, daily operations, and student retention strategies under the guidance of the Associate Director. You will join a high-performing team of professionals in a position that cultivates the development, implementation, and evaluation of support services and events designed to ensure student academic success and engagement.
The Full-time MBA program manager will serve as one of the first points of contact for two cohorts totaling approximately 120 students. This program is based on the Tempe campus. The program manager is highly student-facing, as Full-time MBA students are on campus daily and are highly interactive with their Program Operations team. Nearly half of the Full-time MBA student population is international, hailing from 20+ countries, so sensitivity to and appreciation of various cultural backgrounds is a must.
This position requires someone who can demonstrate a level of high quality and detailed work and manage many administrative tasks while maintaining a professional presence. The program manager must be aware of and responsive to student's needs and concerns in a service-oriented work environment with an elevated level of professional communication and confidentiality. He/she should demonstrate ownership and the ability to work independently on many aspects of the Full-time MBA program. This position is part of the larger Program Operations team working together to provide the best customer service necessary to build and maintain strong relationships with graduate students and internal customers. The primary responsibilities of this position include graduate student support, large and small-scale event coordination, administration and tracking of student progress, faculty support, and execution of communications and daily operations of the academic program. Management and support of various stakeholders such as executive mentors and graduate assistants is also required.
With a flexible schedule to meet your work/life balance needs and those of your program, including a hybrid remote option, the Full-time MBA program manager is responsible for executing program strategies, advising domestic and international graduate business students, tracking academic progress, working with academic schedules, faculty collaboration, budget oversight, processing expenses and disbursements in accordance with the program budget, event execution, project management, academic calendar planning, and being a leader among the Program Operations team.

Essential Duties
- Assists with the development and management of program budgets in collaboration with direct supervisor, including management of program expenditures and requests, and preparing disbursement requests, proposals, and approvals, where appropriate.
- Assists with surveys and tracks academic progress, maintaining detailed records.
- Complies with and monitors applicable school and ASU policies and procedures. Assists students with the resolution of program-related issues.
- Conducts in-class announcements and office hours.
- Develops, oversees, and reports work plans in accordance with established unit and program objectives and funding limitations.
- Gathers information, prepares and assists with reviewing administrative reports, and makes recommendations for future efforts.
- Manages and implements support and academic guidance to ensure student success (including orientation, academic and engagement events, iPOS and CPT trainings, and graduation).
- Manages and/or implements various student communications such as organizing events and speaker series and creates targeted newsletters.
- Manages academic advising to support student success and ensure that the program curriculum is completed and academic policies are adhered to. Communicates with students to resolve higher-level, program-related issues. Conducts advising for students facing academic discontinuation or dismissals.
- Manages the Executive Connections program, providing onboarding and ongoing support for 40+ executive mentors, and working closely with the Executive Connections faculty lead to plan and execute events throughout the year.
- Manages the relationship with academic department staff, faculty director(s), and program faculty to ensure appropriate administrative support is provided and that the faculty are involved and listened to.
- May hire, train, and supervise assigned student employees or graduate assistants for student support activities.
- Represents the college and Graduate Programs Office and serves on various department and university committees. Serves as a representative of the school at state, regional, and national organizations and committees as assigned.
- Works collaboratively with student leaders to plan and execute programmatic and club events.
- Works closely with admissions and recruitment leadership and recruiters on new student communication and issues, ensuring a smooth transition from admitted to current student.
- May assist the Recruiting and Admissions unit with the facilitation of recruiting events and various information sessions.
- Works with the academic department staff, program faculty and director to plan, implement, and evaluate the student experience.
Minimum Qualifications
Bachelor's degree in a field appropriate to the area of assignment and five (5) years of related experience; OR, nine (9) years of related experience OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Evidence of a Master’s Degree in business, education, or a related field.
- Experience within a higher education environment in the following areas: student advising, business and curriculum processes, and student engagement activities.
- Evidence of effective communication skills, including delivering presentations in a group setting.
- Experience in work that requires attention to detail and exposure to confidential records.
- Experience supporting a diverse student population.
- Experience with Microsoft Office applications (i.e., Outlook, Word, Excel, Access, PowerPoint).
- Demonstrated knowledge of student information systems (Peoplesoft); online e-Education platform (Canvas).
- Experience with basic project management and event planning.
- Experience composing, editing, and proofreading written materials.
- Evidence of consistent, positive performance evaluations.
- Supervisory experience (can include student employees).
Working Environment
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%)
- Frequent bending, reaching, lifting, pushing, and pulling up to 25 pounds (15%)
- Regular activities require the ability to quickly change priorities, which may include and/or are subject to the resolution of conflicts
- Ability to clearly communicate to perform essential functions.
