Job Description
The Design School in ASU’s Herberger Institute of Design and the Arts seeks an experienced events professional. This position will assist in the scheduling and coordination of public and academic events, seminars, and conferences. The ideal candidate is a high-performing, positive and service-oriented individual with excellent attention to detail. This position reports to the Manager of Faculty and Academic Affairs. This is a full-time, salaried position which requires a flexible work schedule to accommodate night and weekend events. Under administrative direction, performs work of considerable difficulty planning, coordinating, organizing, staffing and supervising events sponsored by the College, College Alumni Association, student organizations, off-campus organizations, or a combination of the aforementioned. Position reports to the Office of Development and Office of the Dean.

Essential Duties
- Ensure a welcoming and inclusive environment where all community members have a high-quality experience (community members include faculty, staff, students, high-profile guest speakers, university leaders, donors, visitors and others).
- Assists in the development and execution of an event work plan.
- Performs tasks related to event coordination including the scheduling of facility and campus services.
- Assists in coordinating with both internal and external event-related vendors and staff.
- Attends events and ensures assigned aspects of events are implemented according to plans.
- Assists in maintaining records on event activities, progress, or status.
- Maintains event calendars, updating as necessary.
- Works closely with school marketing team to inform event promotion.
- Maintains event RSVP lists and tracks attendance; prepares name tags and dinner cards as needed.
- Assists with data entry in event management software to adhere to ASU policies and procedures
- May assign tasks and supervise student workers as needed for event activities
- Maintain and track budgets on all events, in accordance with objectives and funding parameters
- Assists in problem resolution and answers questions; refers to the appropriate department when unable to respond
- Provides assistance and information to faculty, staff and outside organizations
- Complete other duties, as assigned.
- Communicate information of the event to TDS Faculty, Students, and ASU Communities
Minimum Qualifications
Associate's degree in Public Administration, Business Administration or a related field and two years of event planning and coordinating experience; OR,Four years of public relations and event planning/coordinating experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.
Desired Qualifications
- Understanding of UX design concepts and practices to enhance user experiences.
- Experience in design software such as Figma, Sketch, or Adobe Creative Suite.
- Experience using creative tools to bring design concepts to life and enhance event experiences
- Knowledge of issues pertaining to the area of assignment.
- Knowledge of budgeting and accounting principles. Knowledge of basic project management. Knowledge of supervisory practices and principles.
- Experience in budget preparation and forecasting.
- Experience in coordinating and prioritizing work and activities of self and others.
- Experience in establishing and maintaining effective working relationships with faculty, staff and upper management.
- Evidence in effective communication.
Working Environment
- Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work
- Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds
- Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts
- Ability to clearly communicate to perform essential functions.
- Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.
- Receive regular review of assignments for adherence to established goals and objectives.
- This position may provide work direction of activities to others for completion of project related tasks.
