The Assistant Director of Operations will oversee administrative functions, staff management, post-award research management, academics, business operations, human resources, and faculty personnel actions. This role serves as a key member of the leadership team, ensuring operational excellence across the department. Essential Duties


Administration & Staff Supervision

  • Foster a community-focused environment for faculty, staff, and students.
  • As member of leadership team, provides input on strategic direction, plans and initiatives of financial and operational areas, practices and policies to ensure alignment with established goals and objectives.
  • Direct and review daily activities and operations, contributing to both long-term and short-term strategic planning.
  • Provides analysis of operations to target areas for improvement and works with applicable responsibility area leaders in implementing change.
Business & Human Resources
  • Develops and maintains state, local and capital budget processes; establishes, monitors and implements corrective actions as appropriate to ensure ongoing adherence with sound internal control practices for judicious use of funds in accordance with all applicable standards, policies, requirements and regulations.
  • Reviews, monitors, and initiates actions appropriate to ensure ongoing compliance with established procurement and contract administration policies, standards and regulations; prepares regular and periodic reports of activities.
  • Manage faculty personnel actions
  • Oversee personnel matters including payroll, recruitment, and employee relations.
  • Lead the business administration support staff, ensuring effective financial and HR systems.
  • Oversee recruitment, onboarding, and development processes, including retention strategies
  • Post-Award Research Management
  • Act as the primary contact for post-award issues, aiming to improve management effectiveness.
  • Serve as liaison with ORSPA (Office of Research and Sponsored Projects Administration) to facilitate communication and project management.
  • Provide administrative support for award management activities such as budget adjustments and compliance monitoring.
  • Oversee financial transactions, account reconciliations, and the timely collection of revenue related to funded projects. Offer guidance on sponsor policies and manage compliance with regulatory requirements.

Minimum Qualifications

Bachelor’s degree in Business Administration, Public Administration, Finance, Accounting or closely related field AND five (5) years experience in financial operations, which includes one year of supervisory experience; OR, any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Demonstrated knowledge of management principles and practices.
  • Demonstrated knowledge of accounting and budgeting practices and principles.
  • Demonstrated knowledge of state and federal laws pertaining to budgeting and accounting principles.
  • Experience in operational management within an academic or research environment.
  • Experience in developing detailed and complex budgets, financial reconciliations and reports for management
  • Evidence of strong leadership skills and the ability to manage multiple administrative functions
  • Evidence of effective communication, analytical and interpersonal skills
  • Experience using ASU administrative systems (i.e. Workday, Peoplesoft, Kenexa, Analytics)
  • Experience managing, supervising and evaluating the work of assigned staff
  • Experience in using Microsoft Office applications
  • Ability to work effectively in an environment subject to quickly changing priorities and short deadlines.
  • Ability to effectively utilize reporting formats and criteria to present succinct and meaningful management information to a variety of audiences with varying levels of interest/understanding.

Working Environment

Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to stand for varying lengths of time and walk moderate distances to perform work. Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds. Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts. Ability to clearly communicate verbally, read, write, see and hear to perform essential functions. Drives University vehicle and/or cart to campus site.
