EdPlus at ASU is seeking a highly reliable, motivated, positive, friendly, helpful, professional, and energetic Visitor Services Coordinator. Under general direction of the Director of Meetings and Events, this position serves as the initial point of contact for all guests and staff visiting the EdPlus office. This part time position will be job-shared with another coordinator.
Essential Duties
- Staffs the reception desk & lobby area ensuring it is covered at all times.
- Greets guests and staff, offering assistance with directions, meetings and arrival notifications as needed.
- Ensures all meeting space and conference rooms including the EdPlus Café are ready to always receive visitors, along with light cleaning duties.
- Maintains digital wall monitor with updated welcome messages and other general information.
- Oversees the scheduling of all EdPlus conference and meetings space and updates the daily schedules located at each individual conference room.
- Manages distribution of mail, including internal campus mail, USPS mail and other shipments and deliveries.
- Updates Google Drive documents on a daily basis.
- Serves as back up for all visitor preparation including but not limited to agenda and visitor biography preparation, other supporting documents and assists with food and beverage coordination.
- Manages inventory of visitor collateral and meeting & office supplies.
- Assists in ordering supplies and basic food and beverages for the office.
- Attentive on emails and instant messaging channels.
- Maintains EdPlus staff contact information for use in email distribution lists, staff directories, newsletters, and websites.
- Assists with the management of the EdPlus staff identification cards and department parking passes.
- Supports and exemplifies the EdPlus culture tenets.
- Assumes or coordinates other duties or projects as assigned or directed.
Minimum Qualifications
Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.
Desired Qualifications
- Evidence of a Bachelor's degree or higher in a related field.
- Demonstrated knowledge of high-level customer service principles.
- Experience in understanding and solving problems.
- Evidence of excellent communication skills
- Experience in hospitality industry.
- Experience in a higher education environment.
- Demonstrated knowledge of basic computer programs and web browsers, including Microsoft Office Suite, Keynote, PowerPoint, Email, Google docs, and Internet Explorer.
- Experience in identifying problem sources and methods of solutions in order to resolve visitor inquiries and concerns in a timely manner.
- Experience in multi-tasking with high attention to detail.
- Experience in operating standard business equipment.
- Experience in being flexible and adjust as needed to ensure professionalism.
- Experience with strong organization and time management skills.
- Evidence of being highly reliable.

Working Environment
EdPlus at ASU is located at SkySong, the ASU Scottsdale Innovation Center. The center houses a diverse business community that links technology, research, education and entrepreneurship to position ASU and Greater Phoenix as global leaders in the knowledge economy.
- Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting or standing.
- Expected work schedule is 8:00am – 5:00pm on Monday, Thursday & every other Friday.
- Daily use of desktop or laptop computer is required.
- Ability to clearly communicate to perform essential duties.
