Job Description
The Department of Physics is in search of a self-motivated and energetic Research Advancement Administrator, Sr. to provide professional level financial support within the area of research administration. Under the supervision of the Assistant Director, this position will provide support with post-award Workday processing, account and payroll monitoring, account reconciliations, and account management of sponsored projects. They will also assist with the supervision of assigned student workers and their daily tasks. The RAA Sr. will also participate in financial meetings and expense planning on sponsored accounts working side by side with the PI’s of the project.

Essential Duties
- Assist in all areas of award management
- Provide guidance and assistance in preparing administrative post award management including At-Risks, Pre-Award Costs, re-budgets, No Cost Extensions
- Provide account monitoring and reconciling, Expense Transfers, Effort Reporting
- Act as a resource to research investigators and departmental business staff on Sponsor policies and regulations regarding the administration of award funds
- Monitor compliance issues and assist in resolution
- Work closely with the AMT Teams regarding award modifications, invoicing, closeouts
- Ensure ongoing compliance with all applicable regulatory and financial compliance requirements for awards
- In conjunction with and in support of ORSPA, aid and support securing additional information during negotiations as necessary
- Read award documents to determine restrictions and other pertinent information
- Assist ASU research investigators with renewals and periodic reports for grant agencies
- Work in conjunction with ORSPA and ASU research investigator to ensure timely and accurate post-award accounting of grants and contracts
- Review and perform reconciliation of accounts for compliance of charges in accordance with sponsoring agency/contract conditions and requirements
- Manage awarded projects in accordance with University and sponsor regulations
- Prepare standard and non-standard accounting reports for the ASU research investigators
- Act as an administrative resource to ASU research investigators and ORSPA staff to resolve problems and correct errors in fund management to ensure timely collection of revenue through accurate presentation of invoices
- Maintain all applicable project records and files; decides proper handling of financial transactions; approves transactions within designated limits
- Forecast payroll and operational expenses on grant accounts
- Audit bi-weekly payroll mapping and expenses
- Work collaboratively with the Business Office and provide Fund Approvals for requested purchases of materials, supplies and services
Minimum Qualifications
Bachelor's degree in a related field. Five years of experience in a field appropriate to the area/unit of assignment OR Any equivalent combination of education and/or experience from which comparable knowledge, skill and abilities have been achieved.
Desired Qualifications
- Experience in Workday, Peoplesoft, KE Forecasting Tool, and Analytics Reporting
- Experience in using Excel, OneNote, MS Word, MS Teams, Skype, Zoom, and Slack
- Ability to organize workload to meet deadlines
- Skilled in establishing, nurturing, and maintaining effective professional working relationships
- Ability to understand user needs, requirements and requests to identify priorities
- Experience in using critical thinking and problem-solving skills
- Ability to effectively communicate in person, writing and by phone, and to respond to highly complex situations involving numerous and sometimes competing university constituencies
- Ability to work independently and effectively in an environment subject to regularly changing priorities and strict deadlines requiring regular follow through
- Knowledge of policies, procedures and requirements of ASU and all applicable regulations governing

- Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting.
- Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds.
