The Office of University Affairs is looking for a detail-oriented Business Operations Specialist Sr. (BOS Sr.) to join our Executive Administration Business Office team. This role is key in supporting the smooth and efficient operations within our dynamic department.

What You'll Do
Support Business Operations: Assist with various responsibilities, including purchasing, travel coordination, reporting, and grants financial management for assigned
units.

  • Financial Support: Apply a solid understanding of financial practices to maintain accuracy and efficiency.
  • Customer Service: Provide excellent service by collaborating with various internal and external stakeholders.
  • Confidentiality: Handle sensitive information with care and discretion.
  • Process Improvement: Assist in identifying ways to enhance processes and contribute to operational efficiency.

Essential Duties

  • Financial Support: Assist assigned units with financial transactions, ensuring compliance with ASU and sponsor requirements. Secure appropriate documentation, respond to inquiries, and support relationships with vendors and suppliers.
  • Resource Support: Serve as a point of contact for fiscal policies and procedures.
  • Maintain knowledge of ASU practices and policies to assist internal and external stakeholders.
  • Account Support: Help oversee account expenditures, ensure accurate documentation, and support budget maintenance and reconciliation.
  • Financial System Actions: Assist in initiating financial actions, including requisitions, expense transfers, journals, and payments.
  • Report Assistance: Support the preparation and organization of departmental administrative and financial reports.
  • Grant Coordination: Assist with pre and post-award grant activities, including budget preparation, account monitoring, expense forecasting, and financial reporting.
  • Process Improvement: Assist in evaluating business processes to identify opportunities for efficiency improvements.
  • Risk Management: Support the identification and mitigation of potential risks associated with financial and operational activities.
  • Team Collaboration: Work collaboratively with team members to foster a supportive and efficient work environment.
  • Multi-tasking: Manage multiple responsibilities and deadlines, adapt to changing situations, and support team goals.
  • Continuous Learning: Stay updated on policies and procedures related to grants and enhance knowledge.
  • Additional Support: Provide assistance on other duties or projects as needed.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related experience; OR, Nine (9) years of related experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Grants Management Knowledge: Understanding of grant management policies,
procedures, and regulations.

  • Higher Education Experience: Familiarity with accounting, budgeting, and purchasing in a higher education setting.
  • Numerical Proficiency: Experience working with numerical computations and spreadsheets for reporting purposes.
  • Attention to Detail: Demonstrated strong attention to detail.
  • Problem-Solving Skills: Ability to manage workloads effectively and prioritize tasks.
  • Analytical Skills: Ability to assist in preparing and analyzing financial models, forecasts, and reports.
  • Communication Skills: Evidence of effective communication skills with a focus on customer service.
  • Relationship Building: Experience in building strong relationships and working collaboratively.
  • Team and Independent Work: Success in working both independently and as part of a team in a fast-paced environment.
  • ASU Systems Familiarity: Experience using ASU enterprise systems such as Workday, Peoplesoft, Concur, and ERA.

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts.
  • Ability to clearly communicate to perform essential functions.
  • Use of critical thinking to make decisions and/or analyze and report data/results
  • Infrequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, telephone and associated computer/technology peripherals.

Flexible Work Options
This position is eligible for Hybrid work—an arrangement where employees spend a minimum of 60% of their regular workweek at their primary ASU work location
