Job Description

The T. Denny Sanford School of Social and Family Dynamics is seeking a highly motivated, outgoing, and dynamic Department Human Resource Specialist to join its Business Operations team. Reporting to the Business Operations Manager, the selected candidate will be responsible for a wide range of HR duties which include, but are not limited to, department time administrator, staff and student hiring, and processing HR/payroll transactions. The successful candidate will be a self-starter with an efficient work methodology, excellent customer service and communications skills, an ability to coordinate multiple tasks autonomously, and someone who can exercise sound judgment in decision-making.

Essential Duties

  • Works closely with college administration and central OHR to develop and implement all departmental human resource activities to ensure adherence with university policies, practices and regulations.
  • Responsible for the payroll process for large academic department, resolves payroll discrepancies and works as a liaison between the unit and OHR to reach a solution.
  • Processes a high volume of HR transactions for employees paid on multiple funding sources, (i.e. GOP, local, grant).
  • Determines budgetary impact of salary actions and work closely with the unit financial administrator to review account expenditure requests and obtain expenditure approvals in accordance with established financial guidelines and policies.
  • Coordinates and manages personnel searches/hiring for staff and students, including applicant evaluation and hiring.
  • Works with The College Office of Academic Personnel on Postdoctoral Research Scholar renewals
  • Creates and distributes Graduate Recruitment, GRA/GTA/GSA, Faculty Associate, and summer salary offer letters
  • Performs all activities associated with Department Time Administrator to ensure accurate and timely recording of exception and positive time for employees.
  • Tracks and coordinates submission of out-of-state forms for faculty and staff
  • Coordinates all staff, faculty, and visiting scholar visa applications and renewal processes, such as H1-B and J1 Visas.
  • Oversees and submits courtesy affiliates for the School
  • Works closely with college administration and central OHR Benefits office to coordinate faculty, staff and student benefit issues.
  • Manages and coordinates department Leave of Absence requests with central OHR.
  • Maintains confidential personnel files
  • Oversees and manages the response to internal and external audit requests and prepares audit documents for payroll reconciliations; may work collaboratively with Business Operations.
  • Advises and assists management and staff in the handling of employee relations issues, complaints and/or grievances and determination of appropriate actions.
  • With Business Operations Specialist, or other staff, coordinate employee appreciation events, contributing to a positive work environment. May serve as backup for School events.
  • Participates in a variety of departmental, college, and university-wide initiatives and meetings to represent unit's interests in the area of human resources.
  • Develops and maintains cooperative working relationships both within and across organizational areas.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND two (2) years of related experience; OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Experience working in a higher education environment (ASU experience preferred)
  • Demonstrated knowledge of FMLA, FLSA, ACA and all applicable federal, state and regulatory requirements, laws and standards
  • Experience working with confidential information
  • Experience in work that requires attention to detail and critical thinking skills
  • Experience processing and managing H-1B and J1 visas
  • Experience with MS Office Suite and Adobe PDF
  • Experience using PeopleSoft, Kenexa BrassRing, Workday or other forms of recruitment software
  • Experience working in a fast paced, high volume office environment with constant deadlines and changing priorities
  • Experience in developing and maintaining cooperative working relationships with others
  • Evidence of effective communication skills, including composition, grammar, spelling and proofreading skills

Working Environment

  • Activities are primarily performed in a regular, climate-controlled office setting subject to extended periods of sitting.
  • Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds.
  • Ability to clearly communicate to perform essential duties
  • Ability to work both independently or within a complex structured team.
  • Works from general instructions on standard job duties and specific directions/ instructions on new assignments.
  • Exercises judgment within defined procedures & practices to determine appropriate action.
  • This position receives regular review of objectives by department administrator.

Flexible work option:
Hybrid work is an arrangement where employees spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or vice president-level approval is required.
