Job Description

The University Design Institute (UDI) partners with universities, higher education systems, philanthropic organizations and national governments to co-design new strategies for higher education. We are seeking a passionate, driven and agile Project Manager to join our dynamic team at UDI. This key role will lead the operational, logistics and event management efforts for our expanding portfolio of programs with a focus on our newly developing global Design Clinics. These immersive, executive programs will provide participants with the context, tools and deeper understanding needed to advance their institution forward in topics critical to higher education. The ideal candidate will:

  • Operationally manage the design and development process for the Design Clinics, working with a network of experts.
  • Deliver exceptional, end-to-end participant experience through high-end, high-touch efforts from registration management, participant management, event management during each Design Clinic event and post-program efforts.
  • Develop clear and scalable processes to support program growth globally.
The ideal candidate is a(n):
  • Detailed Project Manager: Ability to oversee all aspects of program planning, from initial concept to final execution, ensuring timelines and budgets are met.
  • Relationship Manager: Ability to build and maintain strong relationships with clients, vendors, sponsors and others, ensuring their needs are met and partnerships are beneficial.
  • Strategic Planner: Expertise in developing long-term strategies to align objectives with organizational goals and drive successful outcomes.
  • Detailed Budget Manager: Proficiency in creating and managing budgets, negotiating contracts and optimizing resources to deliver high-quality events within financial constraints.
  • Persuasive Communicator: Excellent written and verbal communication skills for coordinating with vendors, clients and teams, and for delivering clear, persuasive presentations.
  • Adaptive Problem Solver: Quick and effective decision-making to address and resolve unexpected challenges during the planning and execution phases. Flexibility to adapt to changing circumstances and requirements, often in fast-paced or high-pressure environments.
The ideal candidate has:
  • Experience working with global clients with emphasis on executive audiences.
  • Experience advancing scalable project management strategies for newly developing executive education style programs.
  • Rich experience working in diverse delivery models (in-person, hybrid, zoom, etc.).
  • Experience seamlessly blending efficient and effective event operations with high-end stakeholder management.
  • Experience navigating a variety of cultures and structures across all levels of hierarchy.
This position is based on-site at UDI’s ASU SkySong offices, located in Scottsdale, Arizona. The role will report to the Executive Director, Services.

Essential Duties

  • Establishes and continually monitors/manages project expectations with team; assigns tasks and identifies issues for resolution to ensure optimal team effectiveness.
  • Prepares and maintains all project status reports and schedules; tracks milestones/deliverables, critical paths and dependencies; re-sets expectations as needed in consideration of project progress/outcomes.
  • Responds to all inquiries regarding project status; prepares and responds to all regulatory reporting/filings to ensure compliance.
  • Demonstrates a deep understanding of the program budget to continuously monitor expenses and ensure effective budget management.
  • Serves as primary communication point for internal and external constituents regarding status of projects and resource requirements as appropriate. Provides direction to program delivery team in meeting project timeline and deliverables
  • Proactively initiates discussions with internal / external constituents to avoid risks, ensure timeliness and accuracy of scheduled deliverables. Resolves day-to-day issues. Takes initiative to alert the client team to any potential challenges and risks.
  • Travel domestically and internationally in support of UDI projects, as needed.

Minimum Qualifications

Bachelor's degree and 5 years related experience; 1 of which are in project management, or any equivalent combination of experience and /or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Project management experience specific to the higher education sector preferred.
  • Experience working on executive-level, revenue generating programming preferred.
  • Experience working with international audiences is preferred.
  • Experience running or working on conference programming.
  • Experience in planning and prioritizing multiple and competing tasks/projects effectively.
  • Experience with Airtable project management, or other project management software.

Working Environment

Activities are primarily performed in a regular, climate controlled office setting subject to extended periods of sitting, standing, walking. Visual acuity and manual dexterity associated with daily use of desktop computer; bending, stooping, reaching and lifting up to 20 pounds. Ability to clearly communicate verbally in English, read, write, see and hear to perform essential duties. Regular review of completed tasks.
