Job Description

ASU 365 Community Union (365CU) is seeking a dynamic and experienced audiovisual systems professional to join our event operations team, playing a key role in coordinating events at Mountain America Stadium, Desert Financial Arena, and other venues on and off campus. The Production Coordinator reports to the Technical Director, Sr. (TD), and assists in the operations of the production team and the maintenance and management of venue systems and areas.

This full-time position requires precision and attention to detail to maintain high production value at all events and programs. The Production Coordinator position requires the ability to multitask in a fast-paced environment and work with a high degree of independence and autonomy, as part of a team, as a leader of a team, and on individual projects with little direction or supervision. Strong candidates will demonstrate excellent organizational and interpersonal skills as well as a proactive approach to problem solving. This role will collaborate with many organizations and partners to produce high-quality, high-profile events, often with VIPs in attendance. This role requires general working knowledge of, or the ability to master, all aspects of stadium and arena production systems. The Production Coordinator must maintain a “safety first” mentality and utilize their background in live event audiovisual management to create memorable moments for guests and partners. This is a salaried, full-time, benefit eligible position that requires a flexible work schedule to accommodate events.

Essential Duties

  • Support the mission, vision, values, and standards of Arizona State University, ASU Cultural Affairs, and ASU 365 Community Union.
  • Develop events and programs.
  • Develop, install, operate, and strike all technical elements of events and of the venues.
  • Support and advocate for the part-time 365CU Production Technicians. Work with the TD to develop effective training documents, resources, methods, and techniques to maintain a confident, competent, and high-performing staff. Work with the TD to host regular training sessions and coaching opportunities as needed.
  • Determine staffing needs based on event requests. Schedule the shifts of part-time Production Technicians and report schedules in a timely manner.
  • Process timesheets and other financial and business tasks in a timely manner and in compliance with department and university standards.
  • Coordinate the activities of external crews.
  • Interface with clients, partners, university colleagues, artists, production representatives, and other individuals and organizations to coordinate production details well in advance. Interpret contracts and production requests to ascertain needs for productions and determine feasibility of requests. Provide estimates in a timely fashion.
  • Work with the TD towards developing and achieving organizational goals and vision.
  • Coordinate the loading and unloading of trucks and receiving deliveries.
  • Work with the TD to perform regular maintenance of all stadium and arena systems used during events. Perform regular checks on those systems and responds to malfunctions or other issues in a timely manner.
  • Coordinate venue service tickets and maintenance calls with external vendors.
  • Maintain the 365CU production inventory.
  • Support the TD in developing solutions to increase production capabilities of 365CU.
  • Prepare reports such as event reports, event evaluations, attendance sheets, industrial injury summaries, and incident reports.
  • Complete ASU trainings in a timely manner as they are assigned by HR and other entities.
  • Participate in appropriate professional development programs to attain and maintain competency and awareness of industry innovations.
  • Maintain the cleanliness, safety, and organization of all production equipment and areas, and all production facilities.
  • Drive university vehicles such as golf carts, 7-passenger vans, utility trucks, scissor lifts, forklifts, and other vehicles to perform tasks and transport equipment.
  • Other duties as assigned.

Minimum Qualifications

Associate's degree in Public Administration, Business Administration or a related field and two years of event planning and coordinating experience; OR,Four years of public relations and event planning/coordinating experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills, and abilities have been achieved.

Desired Qualifications

  • Demonstrated knowledge and skill in production systems, equipment, and software including staging, rigging, LED video boards, video walls, video codecs and signal transmission standards, digital audio protocol, NDI, video switchers, live streaming software, Cisco StadiumVision/IPTV, video distribution systems such as Harmon/AMX/Enova, Extron/MediaPort, Analog Way, Q-Sys, Dante, ProPresenter, Blackmagic Design, HRS Systems Control, vMix, ANC/LiveSync/VSoft, Avid, Ross Carbonite, Zoom Rooms and video conferencing, among others.
  • Demonstrated knowledge and skill in live event production techniques and best practices in areas such as live audio mixing, live video directing, video editing, camera operation, video/audio/data/fiber patching, high quality livestreams, lighting for live video, graphic and motion graphic design, and general production systems maintenance concepts.
  • Experience in contributing creatively to the vision and execution of productions and events.
  • Experience in live event audiovisual production.
  • Evidence of effective organizational and interpersonal skills.
  • Experience working as part of a team, as a leader of a team, and on individual projects with autonomy.
  • Evidence of effective communication.
  • Demonstrable knowledge in CAD and/or Vectorworks.
  • Ability to work comfortably at heights at or exceeding 100 feet.
  • Ability to work flexible hours for events scheduled on evenings, weekends and holidays.
  • Experience in multiple types of events, festivals, theatrical productions, concerts, arena and stadium shows.
  • Experience as a Production Technician or Production Coordinator at production company or other organization preferred.
  • Ability to drive on university business and possess a valid Class D US driver license upon employment.
