Job Description

Help students achieve their dreams! Be a part of the rewarding process of supporting ASU graduate students with both Graduate College and external fellowships. The Graduate College seeks an organized and enthusiastic person who thrives on building relationships and creating opportunities for students to be successful. Under general supervision by the Director, this position plans, organizes and coordinates activities and programs related to the management, development and engagement of fellowship cohorts and external funding resources in accordance with Graduate College goals and priorities.

Key Responsibilities:

  • Developing, planning, organizing, and coordinating activities and programs related to the management, development, and engagement of graduate student fellowship cohorts, including scholar support programs like fellowship orientations, campus welcome events, information sessions, and ongoing professional development workshops
  • Serving as liaison between fellows, academic departments, ASU services, and external fellowship organizations/donors, as well as cultivating partnerships and providing ongoing communications throughout award lifecycles, including reminders about fellowship requirements, annual reports, and re-application
  • Developing, coordinating, and monitoring daily operations, such as providing support for preparation of ASU submissions to external organizations, monitoring fellow progress, tracking and assessing activities/events and budgets, and generating and reviewing funding reports

Essential Duties

  • Develops, plans, organizes, and coordinates activities and programs related to the management, development, and engagement of fellowship cohorts in accordance with Graduate College goals and priorities.
    • Duties to support awards such as ARCS, Coverdell, Graduate College Enrichment Fellowship, and NSF-GRFP may include:
      • Manages the planning and execution of scholar support programs and activities including fellowship orientations, campus welcome events, and ongoing workshops.
      • Serves as liaison between fellows, academic departments, and ASU departments/services as needed.
      • Provides support with preparation of ASU submissions to external organizations including reviewing documentation submitted by prospective fellows.
      • Generates and reviews reports to ensure funding commitments have been met.
      • Monitors and reviews status of fellow activity commitments.
      • Provides ongoing communications throughout award lifecycle including reminders about fellowship requirements, annual reports, and re-application.
      • Compiles and submits annual reports for cohorts as needed (i.e., Coverdell Annual Census, GRFP Enrollment Reports).
      • Prepares and presents informational sessions about graduate funding and/or specific funding opportunities.
      • Provides outreach to fellows to coordinate engagement opportunities with donor/funding organization and mentorship.
      • Coordinates mentorship programs as needed; follows up on mentorship plans with students and departments.
      • Provides similar services for other cohorts in the future, such as Gastwirth and Fulbright.
  • Develops and monitors daily operations and coordinates program/project activities, including creating and maintaining processes for assessment and tracking of professional activities and participation utilizing programs such as Microsoft Office, Google Suite, and Dropbox.
  • Manages the planning and execution of scholar support programs and activities
    • Coordinates and facilitates cohort meetings and events; coordinates logistics, scheduling and communications as needed.
    • Provides leadership training, professional development and graduate funding opportunities through workshops and seminars to targeted groups.
  • Liaises, interacts, and maintains relationships with students, faculty, staff, and outside/community agencies in facilitating program objectives.
    • Participates effectively, professionally, and collaboratively within a team of staff and faculty and contributes to team meetings.
    • Cultivates and maintains partnerships with academic and non-academic campus partners for shared support of scholars.
    • Cultivates and maintains relationships with community partners and external funding resources.
    • May develop and conduct presentations for community outreach.
  • Assists the Director with preparation of student support budget proposal and tracking of student funding.
    • Tracks and maintains cohort event budgets.
    • Monitors and reports on funding for specific cohorts and students.
  • Serves as a representative of the Graduate College to ensure all aspects of fellowship cohort coordination are implemented and managed according to plans.
    • May represent team or College in department, university, or foundation meetings, trainings and events.
    • Represents the Graduate College in a courteous and professional manner.
  • Attends seminars, workshops and conferences as needed for professional development, expansion of knowledge, relationship development and inclusion of best and emerging practices into their role.
  • Cross-trains with other members of the team for potential coverage.
  • All other duties as assigned

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three (3) years of related experience; OR, Any equivalent combination of education and/or experience from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Evidence of a Master's degree a plus but not required
  • Experience working with diverse populations
  • Experience working with a high level of attention to detail and strong follow-through
  • Experience coordinating training sessions, programs or events
  • Experience in student support, student development, or student affairs
  • Experience presenting to groups of students, faculty, staff, and community members or organizations
  • Experience in work that requires organizational skills and experience in prioritizing a varied workload and meeting multiple, overlapping deadlines
  • Experience working with graduate students (master's, doctoral, online, international)
  • Experience with graduate student funding or fellowships a plus
  • Evidence of effective communication skills, including the ability to establish and maintain effective working relationships
  • Experience working both independently and as a part of a team to achieve common goals
  • Experience with MS Office Applications (Word, Excel, Access, Outlook) and Google suite

Working Environment

  • Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding and manipulating a computer mouse; required to walk or travel moderate distances to perform work. Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities, which may include and/or are subject to resolution of conflicts.
  • May be required to perform tasks in the field within and/or across University campuses.
  • Ability to clearly communicate to perform essential functions.
