Job Description

The College of Liberal Arts and Sciences is seeking an Executive Assistant to Dean who will coordinate and manage administrative functions under general direction for the Dean of Humanities. The successful candidate will manage the dean’s calendar, coordinate travel and serve as a liaison to various administrative offices at the University.

Essential Duties

  • Manages dean’s calendar.
  • Coordinates and arranges dean’s travel in addition to submitting travel expense reports.
  • Compiles, prepares, and maintains background material related to meetings, events and travel; coordinates and tracks follow-up.
  • Serves as The College liaison to various administrative offices of the University including the President and Provost.
  • Provides guidance to unit staff support regarding college policies and procedures.
  • Coordinates or assists in coordinating dean’s special events to include arranging equipment and catering; sending invitations and managing RSVPs.
  • Independently composes correspondence on behalf of the dean on a variety of subjects requiring judgment, originality, and knowledge of issues involved.
  • Processes various financial business forms on behalf of the dean.
  • Coordinates special assignments and projects as requested by the dean and the Assistant Director, Admin Support Operations.
  • Serves on The College Administrative Cohort Advisory Board; Perform duties as assigned.
  • Provides back-up to other staff in the office.

Minimum Qualifications

Bachelor's degree in business, education or related field and five (5) years of related work experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

  • Experience in supporting a high-level administrator in higher education that includes calendaring and scheduling meetings.
  • Evidence of effective communication skills.
  • Experience in taking initiative, strong organizational skills and attention to detail.
  • Experience in anticipating problems and resolving them.
  • Experience in managing multiple high-priority projects in a fast-faced environment requiring considerable coordination and follow through.
  • Demonstrated knowledge of academic policies and procedures.
  • Computer software experience, including Microsoft Office applications (i.e. Word, Excel, PowerPoint, Outlook).
  • Experience in dealing with confidential and sensitive information.

Working Environment

  • Activities are performed in an environmentally controlled office setting.
  • Subject to extended periods of sitting, keyboarding and manipulating a computer mouse.
  • Required to stand for varying lengths of time and walk moderate distances to perform work.
  • Occasional bending, reaching, lifting, pushing and pulling up to 25 pounds.
  • Regular activities require ability to quickly change priorities.
  • Communicate to perform essential duties.
