Job Description

The Department of Psychology seeks a full-time Student Support Coordinator for the Clinical Psychology PhD program to assist the Clinical Area Head and co-Directors of Clinical Training in the administration of the Clinical area and support clinical graduate student success. Broad responsibilities of the position include liaising with the Graduate College for all ASU processes and procedures for Clinical Psychology graduate students; assisting with graduate student recruitment, admission, and orientation for the clinical program; meeting with graduate students to assist with course scheduling and mapping plans of study; managing academic records for current graduate students and alumni; collecting and organizing required data for accreditation reports; coordinating practicum and internship placements. This position will also provide back-up support and assistance to the Student Support Coordinator for the Master’s in Addiction Psychology and Graduate Addiction Certificate programs. This position will be supervised by the clinical area head and co-directors of clinical training and will involve an approximately 80/20 percent time split working with the clinical area team and the graduate studies program manager and team.

Essential Duties

The duties for the Clinical Specialization Student Support Coordinator include the following:

  • Manage the administrative process for Clinical Specialization PhD students, and assist the departmental StudentSupport Coordinators for the Master’s in Addiction Psychology and Graduate Addiction Certificate programs.
  • Interact with diverse groups of ASU faculty, staff, students, and the general public; interpret and guide students,faculty, and staff with adhering to and complying with university, college, Department, and program-levelacademic guidelines, policies, and procedures, as they relate to recruitment, retention, degree progression, andgraduation. Attend relevant Graduate College and departmental meetings.
  • Attend Clinical Specialization faculty meetings. Collect necessary documentation needed for agenda topics, takemeeting minutes, distribute necessary information before and after meetings.
  • Work closely with students through program milestone processes, such as submission and approval of Plan ofStudy, thesis/dissertation completion processes, qualifying and comprehensive exams completion, advancing tocandidacy, and probation and re-entry. File international student paperwork. Collect assessment data and reportit to the university. Maintain student records according to University and Accreditation requirements.
  • Use PeopleSoft, ASU Dashboards, GPortal, Google Drive, Qualtrics, AppXtender, and internet-based programs tocollect, interpret, and present data; to generate reports and process overrides.
  • Coordinate the recruitment and admission of Clinical Specialization students, which averages 350 applicants peryear. Use technology to manage admissions process: compiling applications, attending meetings, preparing forinterviews, drafting offer letters, managing applicant funding, etc.
  • Provide support for co-DCTs in tracking student funding, course scheduling, and other information needed forGraduate Studies.
  • Respond to inquiries (prospective student, current students, faculty, alumni, etc.) in a timely manner usingeffective interpersonal communication and critical thinking/problem-solving skills and methods, as appropriateto address questions and/or concerns.
  • Collect data for all Department, College, University, and national accreditation organization (APA and PCSAS)reporting requirements.
  • Provide scheduling and organizational support for student and faculty meetings.
  • Support practicum and internship applications and placements. Collect student and supervisor evaluations fromplacements.
  • Other duties as assigned.

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND three years administrative/coordinate program experience; OR, Master's degree in field appropriate to area of assignment AND one year administrative/coordinate program experience; OR, Seven years of progressively responsible administrative/ coordinate program experience; OR, Any equivalent combination of experience and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired Qualifications

  • Evidence of a Bachelor's Degree and at least three years of experience advising students.
  • Demonstrated knowledge of issues pertaining to area of assignment.
  • Demonstrated knowledge of organizational practices
  • Demonstrated knowledge of computerized student systems.
  • Experience downloading data by using dashboards and using ASU Analytics.
  • Experience with Microsoft Excel spreadsheets and Google Drive.
  • Demonstrated knowledge of supervisory practices and principles.
  • Experience in coordinating and prioritizing work and activities of self and others.
  • Experience in establishing and maintaining effective working relationships.
  • Experience using Salesforce and PeopleSoft.
  • Experience working in Higher Education.

Working Environment

  • Psychology Graduate Programs Office.
  • Activities are primarily performed in a regular, climate-controlled office setting subject to extended period ofsitting. Visual acuity and manual dexterity associated with daily use of computer.
  • Bending, stooping, reaching and lifting up to 20 pounds.
  • Ability to clearly communicate verbally to perform essential duties.
  • Ability to work both independently or within a complex structured team.
  • Normally receives no instructions on routine work and general instructions on new assignments with review ofcompleted tasks.
  • Exercises judgement within generally defined practices and policies in selecting methods and techniques forobtaining solutions.
  • Interact with a diverse set of national and international students.
