Who You'll Work With

You will be based in our Lisbon office as part of our local office services team supporting a variety of administrative and clerical activities that collectively contribute to the functionality and appearance of the office.
You will play an integral customer service and office admin focused role supporting our Lisbon colleagues and visiting colleagues in areas of office services, facilities, and any other office related areas.

What You'll Do

In this role you will greet, register, and provide support to visitors (e.g., assigning offices, arranging ground transportation), as well as maintain a welcoming, professional reception area which reflects McKinsey standards. You will perform additional tasks as needed by local office including coordinating security procedures, e.g. security badges.
You will operate switchboard and direct phone calls to appropriate staff, maintain conference rooms and coordinate reservations and liaise with building management (e.g., maintenance requests).
You will ensure security and confidentiality within office, including liaising with building security and coordinating disposal of confidential documents.
Additionally you will coordinate conference room set-up and A/V requirements, maintain supply inventory (e.g., office supplies, printer toner, business cards, IT parts), including processing purchase orders as appropriate.
You will oversee mailroom, including processing/sorting mail, preparing packages for shipment, and operating mailroom equipment.
As a part of Office Service Administration team you will arrange meals/catering for on-site meetings as needed and provide backup support to other office services roles.
You will also assist in maintenance of physical space, including maintaining and deploying office technology/equipment (e.g., HDVC, laptop projectors, copiers, telecom), managing employee office set-up and relocation, coordinating office repairs, and working with external contractors and vendors, as appropriate.


  • Secondary education required 
  • 1+ years of reception or related experience, ideally in a professional services environment
  • Strong verbal and written command of English (C1/C2) and Portuguese (C1/C2) language is required
  • Confident, professional demeanor both in person and on the phone
  • Can-do attitude and desire to deliver great service
  • Ability to effectively manage shifting deadlines and priorities
  • Solid analytical skills
  • Strong client service orientation
  • Familiarity with basic computer applications
  • Ability to work under pressure
