Office Services Assistant

Who You'll Work With

The Office Services Assistant performs a variety of administrative and clerical activities that collectively contribute to the functionality and appearance of the office.

What You'll Do

You will be responsible for reception and support for internal and external guests (clients & colleagues) at in-house events (for example at workshops and client meetings) with room allocation, space set-up, smaller printing jobs, courier services etc.) and accepting calls and answering the email address of the Budapest offices’ reception e-mails

You will take care of other activities such as: coordinating of security processes, in particular access security, attendance control, compliance with Covid-19 or other relevant guidelines. Coordinating of bookings including support and organization of meals / catering for in-house appointments. Supporting with room and space management including furnishing and setting up the rooms, ensuring the functionality of technical equipment (e.g. VC systems, loaners, printers, telephone equipment)

Additionally, you will be responsible for management and re-ordering of equipment, office supplies and groceries including goods and invoice control, contacting person for cleaning, technical maintenance and implementation issues (e.g. coordination and forwarding of inquiries to the team or external service), managing taxi pick ups, travel related requests and and management of IT supplies with regular inventories

Qualifications

  • Education: Secondary education required Experience: 1-2 years general office experience preferred, ideally in a professional services environment; specific experience may also be required for specialized roles (e.g., catering)
  • Excellent English and Hungarian knowledge
  • Familiarity with basic computer applications
  • Confident, professional demeanor; can-do attitude and desire to deliver great service; ability to effectively manage shifting deadlines and priorities; solid analytical skills
