Who You'll Work With

The Office Services team is responsible for driving an array of activities that contribute to the functionality and upkeep of the office including, but not limited to: vendor management, access, maintenance, office services such as cafeteria and cleaning, maintenance, reception, parking, transportation, visitors, supplies, Environmental, Health and Safety (EHS), Free Trade Zone, emergency response, communications, metrics calculation, internal client interactions, procedures definition, problem solving, logistic support, fixed assets controls and co-organizing site-wide event coordination. Our current members are: a Manager of Location Services, 1 Office Services Team Leader, 2 Office Services Administrators and 1 Office Services Assistant.
We work in coordination with all teams and functions located onsite and most of our clients are internal, but we additionally support incoming visitors from other offices and interact with external vendors.

What You'll Do

You will perform a wide array of tasks related with vendor management, general maintenance of our building, site services, communications, team KPI’s, ticket tool management, internal client interactions, procedures definition and control, team development, customer satisfaction, problem solving and leading special projects.
This position will include executing and delivering but supervising and managing others as well, your expertise on Facilities topics will be key for the role.
Flexibility and capability of adapting to changes effectively are crucial for this role. You will need to think outside the box to solve daily challenges and be ready to provide alternative solutions according to our colleagues’ needs. You will also lead projects and support on the area continuous improvement.
Multitasking is a valuable skill as you will manage different types of activities, people and projects simultaneously and will need to prioritize and manage your time effectively. Be willing to develop others and yourself by sharing experiences and best practices in the Facilities and Office Services fields. Attention to detail and the ability to deal with people and vendors are key in this role, as you will need to achieve results through others.
You may also be responsible for presenting results to management, replying to feedback and sending official communications to the site. You will have the opportunity to acquire new skills and build on the strengths you bring to the Firm.
Multitasking is a valuable skill as you will manage different types of activities, people and projects simultaneously and will need to prioritize and manage your time effectively. Attention to detail and the ability to deal with people and vendors are key in this role.

Qualifications

  • University degree in Business Administration or Industrial Engineering preferred
  • 3+ years in facilities/services work experience is required
  • Minimum 2 years leading others experience (direct reports or vendors) is required
  • Experience in FTZ status, customs and fixed assets management
  • Ability to successfully manage relationships with vendors
  • Excel at an intermediate or advance level
  • Ability to communicate effectively - both verbally and in writing - in English as well as the local office language
  • Ability to influence others by example, coaching, mentoring and motivating them to achieve goals under tight deadlines
  • Project management experience with ability to manage multiple on-going projects, experience with Agile methodology is a plus
  • Ability to work effectively under pressure and managing shifting deadlines and priorities
  • Ability to identify inefficiencies and opportunity for continuous improvement
  • Multi-faceted problem solver who demonstrates an energetic and dynamic approach
  • Ability to work collaboratively in a team environment
