Who You'll Work With
You will be based in the McKinsey Tokyo, Japan office leading the Japan Office Services team. The Office Services team covers both Tokyo and Kansai offices and a variety of domains: Office Risk, Real Estate, Office Operation, Office Compliance, and Travel. You will be directly reporting to the Japan Senior Manager of Administration.
The Office Services team delivers impact to our colleagues and for our offices in pursuit of improving our colleagues' work experience and productivity and contributes to significantly enhancing cost-effectiveness and operational compliance – and above all, our key mission is promoting the well-being of our colleagues by providing a safe and healthy work environment.
Your impact within our firm
You will provide strategic direction for the Office Services team, and ensure broad proactive, timely, and high quality administrative execution and excellent customer service to our colleagues.
Your core responsibilities will include, but are not limited to:
Office Services
- Manage team of office services personnel, including coaching, developing, and evaluating individual team members and overseeing delivery of support
- Serve as primary liaison with consultants, administrative departments, and property management personnel on office-related needs
- Ensure key office operational risks are identified, escalated, and managed appropriately
- Lead and coordinate any emergency situations as part of core incident management team (e.g., earthquake, building fire, pandemic, virus, or if other crisis strikes)
- Manage, analyze, and report on relevant office services budgets
- Develop, update, and disseminate relevant office policies and procedures in alignment with firm policy
- Maintain office-related certifications and licenses
- Lead social responsibility and sustainability initiatives on behalf of Japan office
- Improve and build processes to create the best office experience/effective ways of working, including implementing new technology solutions
Facilities and External Vendor Management
- Maintain physical space, including supervising internal staff, external contractors, vendors and suppliers, monitoring contracts for compliance, and performing quality control inspections
- Interface with building management in all aspects of facilities administration
- Forecast space requirements based on office growth strategy
- Work with firm Real Estate and cell leadership in acquisition of space and lease negotiations
- Oversee construction efforts, including negotiating architect/construction contracts, managing the budget, leading design team, and supervising build out
- Anticipate issues with external suppliers in advance and takes steps to resolve
- Independently manage external workers (onboarding/training)
- Effectively negotiate with vendors to avoid any risks on behalf of the firm
- Create and maintain a safe and healthy workplace
Your qualifications and skills
- Bachelor’s degree required
- 3+ years of people management experience ideally in a professional services environment; facility/site management experience a strong plus
- Excellent judgment/decision-making skills; high tolerance for ambiguity
- Distinctive communication skills, both oral and written
- Outstanding efficiency and effectiveness of administrative processes; high quality and service standards
- Excellent project management skills/driving initiatives
- Proven effectiveness working with vendors and suppliers
- Strong working knowledge of relevant functional area(s) – e.g., technology, construction, facilities management
- Excellent customer service mindset
- Excitement to cultivate strong relationships with clients and colleagues; ability to build inclusive environment
- Bilingual business level proficiency in English and Japanese a must
- Expertise in MS Word, PowerPoint, Excel, and Outlook; ability to learn other applications
- Flexibility to work additional overtime occasionally required, particularly for events
