Your Impact
In this role, you will support teams within the office to co-create elements of distinctive proposals and associated supporting materials, in addition to supporting other client service operations and office initiatives.
Specifically, you will coordinate administrative processes and documentation requirements, including vendor registration as part of pre-proposal preparation, including but not limited to e-procurement registration/administration, user/company profile creation, company/user access maintenance and management, and obtaining RFP/RFI docs from clients. You'll coordinate meetings with clients and internal teams related to client inquiries/RFI/RFP and ensure relevant stakeholders (client service team leads/managers) attend critical interactions with the clients, organizing documents translation, language assistant support.
You will collaborate with proposal management and client services team to create compelling proposal documents, materials, and experiences; coordinate proposal preparation to ensure smooth proposal process; duties could include working with the client service team on the technical document, working with Legal to prepare legal/admin letters, liaising with Finance for financial documents, liaising with EAs to align scheduling, and liaising with Office Services to organize printing/production of proposal documents.
You'll prepare compliance matrices, templates, close-out activities, and/or other administrative elements throughout proposal development based on submission requirements; perform progress check-ins with the relevant teams involved in proposal development (e.g., client service team, Legal, Finance, EA/TA, T&I). You'll also adhere to relevant procedures (e.g., file structure, archive, backup) for all proposal materials and processes.
You will support the client service team to bring the best of the firm’s broader capabilities and expertise into proposals by providing relevant information e.g., CVs, cases, office qualification and other reference documents as part of technical proposal development. You'll maintain and populate proposal assets by regularly updating and reviewing the proposal database (e.g., client development pipeline, proposal documents, CVs, cases, office qualification, client templates, firm templates) and organize the data by client name/sector to establish best practice in client data management.
Your Growth
You’ll be part of McKinsey’s Jakarta Office where you’ll provide proposal account management support, including support for Indonesia’s broader client services operations and office initiative management team. Within this team, you will focus on providing administrative support for critical proposal, account management, and client services processes (particularly for SOE clients). Additionally, you will provide ad hoc administrative support to leadership responsible for delivering strategic office priorities. You will also work with the team assistants supporting senior leaders (e.g., senior manager of initiative management, senior consultants/AP/Partners/Sr Partners) to coordinate day-to-day activities for client service operations and office initiative management.
Alongside your alignment to the Jakarta and Indonesia office, you will be part of McKinsey’s Proposal Services path, a global community focused on growing our existing and new client relationships by enabling efficient and effective delivery of proposals. You will collaborate with other colleagues to shape our thinking on proposal best practices and drive continuous improvement.
You will report to the Asia Public Sector Proposal leader.
Your qualifications and skills
- Bachelor’s degree (law/political science/comms/international relations/business/management)
- 1+ years’ work experience in admin role/operations, business development or project management role
- Good understanding of local client context; prior experience/familiarity of SOE/Government procurement process would be an advantage
- Detail oriented and interest in process management
- Ability to work under pressure; demonstrate flexibility in working beyond office hours and meeting deadlines
- A team player and ability in multi-tasking
- Excellent communications skills in English and relevant local language, written and verbal (e.g., ability to synthesize and convey complex information clearly and compellingly)
- Proficiency in Microsoft Office products (i.e., PowerPoint, Excel)
- Results-oriented; entrepreneurial and self-driven
- Collaborative; able to build relationships and influence stakeholders across roles and levels
- High professional and ethical standards and respect for confidentiality
