Your Impact
As part of your role, you will reliably manage the schedules of consultants, ensuring the accurate scheduling of a high volume of both internal and client-related meetings.
You are adept at organizing, prioritizing, and proactively forecasting to address any changes that may arise in the schedules. You will work seamlessly with McKinsey staff and clients to ensure proper communication and coordination of meetings and deadlines, all aimed at meeting client objectives.
In addition to calendar management, you are responsible for making timely and accurate travel arrangements, understanding consultants' needs and planning flights, hotels, and car services.
You will also process internal accounting needs, including expenses and invoices, and coordinate document production and copies. Furthermore, you are expected to take care of visitors from overseas and support both internal and external events, handling aspects such as reception, arranging catering and IT equipment.
You are also expected to take on a lead EA role in event coordination and project management, while also coaching and mentoring your assistant colleagues. You should consistently serve as a role model for your teammates, demonstrating an exceptional attitude and resilience.
Your Growth
You will be part of our Executive Assistant (EA) team in our McKinsey Japan Office, located in Tokyo and Osaka, and will be responsible for the secretarial work for senior consultants (Partners) there and report to the EA Manager/Supervisor/Team Leader.
In this role, you will be a creative problem solver for the Senior Partner and/or Partner whom you support. You will partner with your Partners to optimize their time, create trust-based relationships within their network while building your own, and deliver high quality end-product. You will build ongoing rapport with your Partners, their clients, client assistants, internal colleagues, and other EAs globally. You will act as an informed representative for the Partners when interacting with clients, internal and external customers, and others while maintaining the confidentiality of highly sensitive information.
Your qualifications and skills
- Bachelor’s degree
- 5+ years or experience supporting senior leaders
- Native level Japanese Proficiency
- English: TOEIC above 860 or equivalent
- Solid PC skills and demonstrated administrative and organizational skills; detail-orientation and resourcefulness
- Highly professional presence on telephone, email, and all other work-related communications platforms
- Strong customer service orientation
- Ability to work collaboratively in strong team environment yet work independently to see projects through to completion
- Ability to work in fast paced, deadline driven, and high-volume environment
- Ability to handle multiple tasks/projects at once and a strong attention to detail
- Excellent professional standards, discernment and discretion when taking care of sensitive information
- Ability to interact professionally with clients, other staffs and senior leadership
