About the Role:
The WGU Facilities team operates administrative and educational facilities across the United States. This role is responsible for WGU's Phoenix office. As a Facilities Office Coordinator, you are the primary point of contact for WGU Facilities in Arizona and represent the broader University Operations organization to our staff. You are a key player in implementing our enterprise services vision and ensuring that our facilities and services meet our high standards. Local staff will see you as the visible office owner and you will frequently interact with staff, property management, and outside vendors while being supported by our central facilities management team. This is an ideal role for someone who craves variety, enjoys hands-on work, likes working with people, does not require a lot of supervision, and has a strong sense of ownership.
What you'll do...
Be a point of contact for one or more of the following: WGU service requests for the Phoenix office, Property Management, and Vendors
Coordinate with property management regarding maintenance issues as directed.
Utilize and ensure adherence to SOP & SLA.
Look for ways to improve processes to ensure the office runs efficiently and smoothly.
Support Facilities projects with the opportunity to own smaller projects.
Work closely with Facilities Supervisor/Manager to maintain high standard of services.
Offer additional coverage and support for Security, Mailroom and Transportation teams.
Participate in periodic process/system audits to ensure effectiveness and to identify areas for improvement.
Works in conjunction with WGU safety team to ensure safety of WGU employees, site guests, and contractors.
Assist with call outs and emergency situations as they arise.
Demonstrate a strong customer service mindset when interacting with other employees.
Responsible for ordering of all facilities related supplies.
Maintain Facilities related knowledge base.
Support Facilities in the on-boarding and off-boarding of employees.
Assist with office moves where required and ensure layout of office is up to date.
Responsible for all meeting/conference room setups on site. Ensuring rooms are presentable, have correct equipment, and standardized furniture. Ensuring that rooms and areas being used are set up in advance. If required, coordinates with AV team to ensure needed technology is available. Confirm that requested technology is in place and functioning properly.
Manage the facilities online service queue.
Foster an environment of learning, excellence, and innovation within all aspects of teamwork.
Assist with the scheduling, maintenance, and operation of University fleet vehicles.
Performs other related duties as assigned.
Knowledge, Skill and Abilities:
Customer focused to build relationships with clients.
Interpersonal skills to be able to liaise with a wide range of individuals including clients and visitors to manage their expectations in a professional manner.
Understand the security needs of business and the impact it has.
Set priorities for individual workload.
Organized to ensure all contractual obligations are covered.
Demonstrates a willingness to learn and undertake training.
Health and safety training, including first aid training.
Previous background in Facilities Management advantageous.
People management skills.
Quality driven attitude, attention to details is a must.
What you'll need...
Minimum Qualifications:
Requires ability to adhere to standards and processes within a narrow scope of work.
3 to 5 years prior experience in a customer service or operations role.
High school diploma or equivalent.
Valid driver’s license.
Physical Requirements:
The ability to spend periods of time standing or walking.
Must be able to lift up to 25 pounds at times.
