About the Role:
The Procurement Operations Specialist will work with Procurement Operations leadership to support the Procure to Pay Process. They will research and identify vendors, obtain quotes, place orders, and track and maintain purchase order information. They will help track and monitor WGU’s overall procurement spend.
Location: While this position will begin as remote/work-from-home, it is expected to transition to an in-office role in Raleigh, North Carolina, once a dedicated office space is established (anticipated by mid-2026).
Main Responsibilities Include:
Working with the Manager, Purchasing to primarily support the Procure to Pay Process.
Maintaining cordial working relationships with vendors and following up with vendors as needed.
Tracking Purchase Orders (PO) and maintaining purchase records to increase Managed spend.
Working with warehouse staff to compare deliveries with purchase orders to identify discrepancies
Conduct market research to identify potential vendors if required.
Monitoring of the WGU common email and Service Now Intake application to assist Buyers, Senior Buyers and Managers with the flow of information for Procurements and Events.
Assist with obtaining quotes, placing orders, managing receiving reports, arranging logistics, and shipping documents and ensuring timely invoice processing.
Monitoring procurement spend on Procurement Cards and following up with stakeholders to verify transactions.
Fill in for the Procurement Administrative Assistant during times of high workload and times of absence.
Performs other related duties as assigned.
Knowledge, Skill, and Abilities You'll Need to be Successful:
Must be able to communicate effectively and professionally with clients, vendors, and other team members.
Strong organization and documentation skills.
Detail oriented. Follows processes and learns quickly.
Solid data entry skills and the ability to be consistent.
Minimum Requirements:
Minimum of 3 years of work experience in an office environment, in Purchasing or Accounting
Proficiency in MS Office Suite of products especially Microsoft Excel and Word
Detail oriented and organized.
Professional communication and collaboration skills.
Preferred Qualifications:
Experience working in any ERP system is a plus. Working with the ERP system, Workday is an advantage.
Exposure or experience in Procurement is an advantage, but not a requirement.
Basic accounting knowledge is helpful.
Advanced degree desirable.
Physical Requirements:
Prolonged periods sitting at a desk and working on a computer.
Must be able to lift up to 15 pounds at times.

The salary range for this position takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets; experience and training; licensure and certifications; and other business and organizational needs.
